How To Use This Staff Shift Scheduler

Choose a start date, number of weeks, working days and shift type. Enter the number of people available, or add names manually one per line. Set how many people are needed per day or shift, choose how many days each person should cover per week, then generate the rota.

The scheduler will try to assign people fairly, keep working days together where possible, avoid duplicate same-day assignments and warn you if the requested rota is difficult or impossible to fill without breaking your selected pattern.

Can this tool create a Monday to Friday rota?

Yes. Choose Monday to Friday and the scheduler will automatically skip weekends.

Can I create a seven day rota?

Yes. Choose Monday to Sunday to include all seven days of the week.

Can I choose custom working days?

Yes. Select Custom Days and tick only the days you want included in the schedule.

Can I enter real staff or student names?

Yes. Enter one name per line. If you leave the names box blank, the tool will create placeholder names such as Person 1, Person 2 and Person 3.

Will the same people stay together for a few days?

The tool tries to keep people together in working blocks where possible. For example, if someone needs to cover 3 or 4 days per week, the scheduler will try to keep those days together instead of spreading them out randomly.

How does the day and night shift block option work?

If you choose a pattern such as 4 on 4 off with a 24 hour split shift, the tool tries to keep people on a sensible block, such as several day shifts in a row, time off, then several night shifts in a row.

Does this replace HR or payroll software?

No. This is a simple planning tool. It does not check contracts, employment law, working time rules, placement requirements, pay, breaks, annual leave or official workplace policies.
